Aš esu Gintautė Černiauskė, Buhalterijos LT vadovė. Šiame video kalbėsiu apie skaitmenizavimą buhalterinės apskaitos srityje, arba dirbtinio intelekto panaudojimo, arba kitaip tariant robotizacavimą buhalterinės apskaitos srityje – kas jau vyksta ir yra neišvengiamas procesas Lietuvoje.
Šiame video kalbėsiu kokia yra nauda iš vartotojo pusės, nes mes esame įdiegę visiems savo klientams skaitmenizavimo procesus, ir klientai tampa varototojai bei mes esame vartotojai kaip buhalterinės įmonės atstovai, ir su kokiais iššūkiais tenka susidurti tuomet kai mes įdieginėjome skaitmenizavimo procesą, ir tuomet kai mes tapome vartotojai ir procesas buvo įdiegtas.
Kas tai yra skaitmenizavimas, robotizavimas, arba dirbtinio intelekto panaudojimas buhalterinės apskaitos srityje? Tai procesas kuris pagreitina duomenų apdorojimą kaip pavyzdžiui sąskaitų faktūrų – pirkimo, išrašytų sąskaitų faktūrų apdorojimą, skolų surinkimo – nes tai labai aktualu yra savininkams.
Jeigu buhalterinės apskaitos sistema sukonfiguruota korektiškai, jūs daug greičiau gausite balansą, pelno nuostolio ataskaitą už mėnesį, ketvirtį, o tai reiškia kad duomenis jūs jau turite šiandien, ir ne rytoj ar už mėnesio, o kartais tenka girdėti – pvz. dabar yra liepos mienuo o atėjęs naujas klientas sako, mes tik prieš porą savaičių pasidarėmė balansą, nes mano buhalterė tik dabar padarė balansą.

Galbūt jūs darėte reklaminę kompaniją ir yra svarbu pažiūrėti kaip vyko pirkimai ir pardavimai, koks yra pelnas?
Skaitmenizacija jums pagreitins tuos procesus ir taip pat palengvins informacijos apdorojimą ir ji bus tikslesnė, nes yra išvengiama žmogiškų klaidų. Kartais jų pasitaiko, nes mano praktika leidžia pasakyti kad tobulo žmogaus nebūna ir VMI sistejoje ISAFe, jos pasimato ir čia atsiranda žmogiškas faktorius nuo kurių mes nesame apsaugoti, o tobulo žmogaus nebūna.
Skaitmenizacijos procesas išeliminuoja smulkias klaidas. Taip pat procesas pagreitėja ir yra svarbu vadovams, kurie skaito, analizuoja ir rūpinasi įmonės duomenimis, ar reikės mokėti pelno mokestį, ar nereikės mokėti – taip pat jūs gaunate greičiau ir tikslesnę informaciją.
Jeigu jūs turite įdiegę skaitmenizavimą, tai jūsų buhalterė bus sutvarkiusi sistemas, kad jūs galėtumėte patys išsirašyti sąskaitas faktūras, o tai reiškia kad exel, worde jūms nebereikės rašyti pardavimų sąskaitų.
Jeigu turite elektroninę parduotuvę – galbūt bus galimybė nuskaityti pardavimo sąskaitai išrašyti reikalingus duomenis automatiškai ir tai mažins jums techninį ir rankinį darbą, nes tai padarys dirbtinis intelektas.
Taip buhalteriui lieka mažiau darbo ir bus reikalinga sutikrinti informacijos duomenis, kuriuos gauname iš skaitmenizavimo.
Kokie yra iššūkiai?
Visų pirmiausiai, jeigu jūs niekada nedirbote skaitmenizuotai, tai čia bus naujovė. O naujovė reikalauja naujų žinių įsisavinimo ir reikėtų sutarti kaip komunikuojate bendradarbiaujant, kai dirbate jūs biure ir yra nutolęs buhalteris. Čia reikalinga tinkama komunikacija ir tinkamas žinių perdavimas. Po kelių mėnesių kai įdiegiate reikiamas funkcijas, turite jau matomą rezultatą, nes sekantį mėnesį turėsite mažiau techninio darbo, kadangi nes sistemos jau atpažįsta dalį duomenų automatiškai ir procesas pagreitėja.
Kiek kainuoja buhalterinės apskaitos sistema?
Gal esate vadovas ir norite pereiti prie skaitmenizacijos, iškyla klausimas – kiek kainuoja skaitmenizuota buhalterinė apskaita ar sistema?
Pirmiausiai reikia žiūrėti su kokia buhalterine programa jūs dirbate, kokios funkcijos yra automatizuotos, kurios nėra automatizuotos, o galbūt artimiausiu metu bus automatizuotos ir kiek kainuos jums įdiegti, kiek kainuos atnaujinimai ir keik kainuoja pati buhalterinė apskaita.
Kartais paskambinę nauji klientai man sako – pas mane dirbo 10-15 metų buhalterė ir viskas buvo gerai, o dabar jūs man čia sakote, kad man reikės padaryti ir keisti. Ir jeigu jūsų požiūris šiuo metu yra toks jog jūs nieko nenorite keisti, žinoma kad nieko nekeiskite, dirbkite taip kaip dirbote. Galbūt ateityje pasikeis jūsų poreikis ir galimybės, nes čia reikalingos papildomos investicijos, jeigu jūs turite įsigiję įmonėje buhalterinės apskaitos programą.
Jeigu jūs dirbate su buhalterine kompanija, tai gal jums reikės susimokėti papildomą sutartą mokestį, o galbūt visai nereikės mokėti, nes tai priklauso nuo jūsų bendradarbiavimo sąlygų.
Iššūkiai su kuriais aš susidūriau, kai organizavau skaitmenizavimo įdiegimą, tai buvo žmogiškasis faktorius, kuris buvo galbūt didžiausias, nes kaip organizatorius supranti, kad skaitmenizavimas yra naujovė, turi įdėti savo laiko, turi perprasti sistemą, turi perprasti funkcijas ir turi surasti būdą, kaip paaiškinti žmogui, kuris ta sistema naudojasi. Čia susiduri su dirbančiais įmonėje buhalteriais, kiek jei gali priimti naujos informacijos ir noro su jomis dirbti, o kai perduodi informaciją klientui, kuris naudojasi buhalterine apskaitos sistema reikalingi dar kiti dalykai.
Pas mus klientai yra Norvegijoje, Švedijoje, Danijoje, Didžiojoje Britanijoje, Vilniuje, Klaipėdoje, Šiauliuose – kaip matote buhalterinės apskaitos programą naudoja iš įvairių miestų ir nebėra atstumo ribos. Buhalterijos duomenys yra vienoje vietoje debesyse ir kai klientas moka naudotis programa, tada atsiranda bendra nauda mums kaip buhalteriams ir kaip klientui. I am Gintautė Černiauskė, the head of the Accounting LT. In this video, I will talk about digitalization in the field of accounting, or the use of artificial intelligence, or in other words robotization in the field of accounting – what is already happening in Lithuania.
In this video, I will talk about the benefits for the user, as we have implemented digitalization processes for all our customers, and customers become users and we are consumers as representatives of the accounting firm, and what challenges we face when we implement the digitalization process and when we became users and the process was implemented.
What is digitalization, robotization, or the use of artificial intelligence in accounting? It is a process that speeds up data processing such as invoicing – purchasing, processing of issued invoices, debt collection – as it is very important for owners.
If the accounting system is configured correctly, you will receive a much faster balance sheet, profit and loss statement for the month, quarter, which means that you already have the data today, and not tomorrow or for the month, and sometimes you hear – e.g. it is now July and a new client has arrived, we only made the balance a couple of weeks ago because my accountant has only just made the balance.
If you have set up digitalisation and do not have the data, talk to your accountant and ask for the data to come faster. Maybe you did an advertising company and it’s important to see how purchases and sales went, what’s the profit?
Digitalization will speed up those processes for you and also make information processing easier and more accurate as human errors are avoided. Sometimes they occur because my practice allows us to say that there is no perfect person in the TAX authority system at ISAF, they are visible and there are human factors from which we are not protected, and there is no perfect person.
The digitalization process eliminates minor errors. It also speeds up the process and is important for managers who read, analyze and care about company data, whether or not to pay income tax – and you get faster and more accurate information.
If you have digitalization installed, your accountant will have systems in place so that you can invoice yourself, which means you won’t have to write sales invoices exel, worde.
If you have an e-shop, you may be able to scan the data required to issue a sales invoice automatically, and this will reduce the technical and manual work for you, as this will be done by artificial intelligence.
This leaves less work for the accountant and will require verification of the information we receive from the digitalization.
What are the challenges?
First of all, if you’ve never worked digitally, this will be new here. And innovation requires the acquisition of new knowledge and you should agree on how you communicate collaboratively when you work in an office and are a remote accountant. This requires proper communication and proper knowledge transfer. After a few months of installing the necessary features, you already have a visible result, as you will have less technical work next month, as the systems already recognize some of the data automatically and the process speeds up.
How much does an accounting system cost?
Maybe you are a guide and want to move on to digitalization, the question arises – how much does a digitized accounting system cost?
First, you need to look at what accounting software you are working on, what features are automated, which are not automated, and perhaps will be automated in the near future, and how much it will cost you to install, how much the upgrades will cost, and how much the accounting itself will cost.
Sometimes new clients call me and tell me that, I had an accountant for 10-15 years and everything was fine, and now you are telling me here, that I will need to do and change. And if your attitude right now is that you don’t want to change anything, of course, don’t change anything, work the way you worked. Your needs and opportunities may change in the future, as an additional investment is required here if you have purchased an accounting program from your company.
If you work for an accounting firm, you may have to pay an additional agreed fee, or you may not have to pay at all, as it depends on the terms of your cooperation.
The challenge I faced when organizing the deployment of digitalization was the human factor, which was perhaps the biggest, because as an organizer, understanding digitalization is an innovation, has to put in its time, has to understand the system, has to understand functions, and has to find a way to explain which uses that system. Here you are faced with the accountants working in the company, as far as you can accept new information and the desire to work with it, and when you pass the information on to a client who uses an accounting system, other things are needed.
We have clients in Norway, Sweden, Denmark, Great Britain, Vilnius, Klaipeda and Siauliai – as you can see, the accounting program is used from various cities and there is no longer a distance limit. Accounting data is in one place in the cloud and when a client pays to use the program, then there is a common benefit for us as accountants and as a client. It takes some time to feel that mutual benefit, as repetitive processes are memorized by artificial intelligence in a couple of months.
